Before You Start
Use this guide to prepare a strong AUSRESCA nomination. Confirm the following before you begin:

Eligibility recap
- Nominee actively serves (paid or volunteer) in an Australian emergency service role.
- Contributions align with Rotary’s ethos of “Service Above Self.”
- Review detailed rules on the Eligibility page.

Privacy note
- Only include information that can be verified.
- Read how information is handled in our Integrity Measures.
What You’ll Need
Gather these details before opening the form to save time:

Core information
- Nominee’s name, service/agency, role, state/territory, and contact details.
- Your relationship to the nominee and how long you’ve known them.

Written responses (typical word limits)
- Community Service (Max 400 words).
- Service Above Self (Max 150 words).
- Normal Duties (Max100 words).

Supporting materials
- Optional: photos (JPG/PNG), letters of support, links to news articles/videos.

- Ensure files are clear, accessible, and permissioned.
Step-by-Step Submission
Follow these steps to submit successfully:

1) Create your nomination
- Go to Nominate and start a new nomination.
- Confirm you are selecting the correct State, Territory or Rgion when you start your nomination

2) Draft responses
- Write in plain English; describe the situation, actions, and outcomes.
- Align each answer to the Scoring Framework.

3) Add evidence
- Upload clear, relevant files only. Use captions to explain context.
- Provide functioning links (test them) and brief notes for each.

4) Review and confirm
- Check names, dates, roles, and permissions.
- Proofread or ask a colleague to review.

5) Submit
- Click submit and wait for the on‑screen confirmation.

Accessibility and language
- Avoid jargon and acronyms; expand at first use.

Writing Tips That Impress
Strengthen your case with evidence and clarity:

Show measurable impact
- Quantify outcomes (e.g., number of people supported, time saved, reach).
- Note sustainability, collaboration, and innovation.

Be specific
- Replace general praise with concrete examples and dates.
- Explain the nominee’s role versus team efforts.

Connect to criteria
- Mirror the language of the Judging Criteria.
- Address community benefit, leadership, and service beyond duty.

Keep it readable
- Short paragraphs, active voice, plain language.
- Avoid jargon; define acronyms once.
Submission Checklist
Copy or print this checklist to finalise your submission:

- I confirmed the nominee is eligible and consented.
- I selected the correct State/Territory or Region.
- I answered each question within word limits.
- I linked my examples to the judging criteria.
- I attached only relevant, permissioned files with clear captions.
- I verified all links work.
- I proofread and checked spelling of names/roles.
- I’m ready to submit via the Nominate page.
After You Submit
Here’s what happens next:

Acknowledgement
- You’ll see an on‑screen confirmation and receive an email receipt.

Corrections window
- Minor corrections may be accepted for a short period. Contact the Secretariat promptly via Contact.

Judging timeline
- Nominations are reviewed and judged in line with the Assessment Stages and Timeline.

Notifications
- Finalists will be contacted after judging with next steps.
Troubleshooting & Support

Try a different browser (Chrome/Edge), clear cache, and ensure pop‑ups are allowed. If issues persist, take a screenshot of any error and contact us via the Contact page.

Check file size and format (JPG/PNG/PDF). Rename the file with only letters, numbers, and dashes. Compress large images and try again.

Review the Eligibility and Category List pages to confirm the correct fit. If uncertain, provide your best assessment and explain context in the form.
